New Parent IDs to be Rolled Out

Dear SIS Community:

Over the past several years, SIS has taken numerous steps to enhance safety and security on our campuses. Our efforts have included upgrading facilities and classrooms, installing secured entrances at Mountainside, installing security cameras at Bayside, and several other improvements. To continue that commitment, last September we invited a global school safety and security expert to visit our school and review our efforts. We will be implementing many of the recommendations he provided based on his evaluation.

One recommendation was to upgrade our screening and access protocols for school buildings and venues. To accomplish this, we will introduce Identification Cards and Lanyards for all adults within our school community. These ID Cards and Lanyards will make it easy to identify adults who should be on school premises, such as teachers, staff, parents and other family members. All other visitors will be screened and provided with a visitor badge.

We will first implement the process at the Jingshan Campuses starting later this month; implementation at Bayside will follow. The ID Cards and Lanyards will be valid at all campuses.

Next week, we will begin collecting or taking parent photos for the ID Cards and ID Cards will be issued throughout the week. Starting in early February, all adults will be asked to wear their ID Cards and Lanyard while in school buildings. Please review the procedures below for more details.

Identification Card and Lanyard Procedures

Purpose

In order to preserve a safe and orderly campus environment for our students, all adults are required to wear a school issued ID and lanyard while in school buildings and school venues (sports field, playgrounds, etc.) during school hours.

Obtaining ID Cards: Initial ID Photo and Card Issuance at Jingshan (Parkside and Mountainside Campuses)

  • The initial issuing of cards of ID's will take place over the next two weeks for the Parkside and Mountainside Campuses (Jingshan). (Bayside cards will be issued soon after the completion of the Jingshan process.)
  • Jan. 26-29. Initial Parent ID Photo Process.
    • All parents will need to have a school-issued photo ID and lanyard when on SIS campuses during school hours. Photos can be submitted online (see link below) or can be taken at the Mountainside and Parkside Campuses.
      • Online option. Parents can click this link http://share.sis.org.cn/parentid/ and use the online form to submit a photo to the school and have the card pre-printed for pick up after two business days. Photos must be in .jpg format. Other required details are on the online form.
      • Walk-in option. For those who do not submit an online photo, Jingshan parent photos will be taken on the Jingshan Campus from Tuesday, Jan. 26 to Friday, Jan. 29 at two locations: the Parkside reception area and Mountainside Library. This timing allows parents to take the photo when on campus to attend conferences with teachers.
      • Photo ID cards and lanyards will be available from the next business day at the Genius Bar in the lobby of Parkside.
      • Family Representative Cards. Families can obtain a "Family Representative" ID card for family members such as grandparents, or family employees (ayi or driver) who may come regularly to school buildings or activity venues. These cards will not have photos, but will display the family and student's names. This first card is free. Additional cards will cost RMB 30, which must be paid to the school cashier.
      • For family representative cards, families will be responsible for obtaining the card and monitoring its use by family members and employees, including notifying the school if the card is missing or taken.
      • The issuance of cards will be tracked in the school information database.
    • Parents and family representatives should wear the lanyard and card whenever on school premises during school hours.
    • After Jan. 29, photos can be taken at the Genius Bar in the Parkside lobby. (Beginning next August, cards will be issued annually, and will be valid for one school year.)
    • After sufficient time for parents to obtain the ID cards, the school will announce an official date from which this procedure will be fully enforced.
  • Visitors or parents who forget or lose their ID will be issued a visitor's sticker with their name and the date on it. This sticker must be worn and be visible at all times while on SIS premises.

Replacing ID Cards or Additional Family Representative Cards

  • If an ID card is lost or needs to be replaced, parent must notify the school receptionist and obtain a new card.
  • Replacement cards will cost RMB 30. Fees for replacement cards must be paid at the school business office. A receipt will be issued that can be presented at the Genius Bar in Parkside for the new card.
  • Additional family representative cards (more than one) will cost RMB 30.
